About the project

The resource management system at Dortmund University of Applied Sciences and Arts

As of January 1, 2019, Fachhochschule Dortmund has replaced the HIS software for the central areas of finance, third-party funding and human resources with the ERP (Enterprise Resource Planning) system from MACH AG.

In addition to comprehensive overall integration, the MACH software offers multi-layered, modern, browser-based functionalities in the ERP itself, but also self-service functionalities in a reduced, clear and structured display form.

Project progress

During the changeover, digital and therefore paperless workflows for procurements and invoices were implemented and piloted.

Individual budget views of the company's own billing objects were realized.

The digital third-party funding project file went live at the beginning of 2021.

At the end of 2022/beginning of 2023, the fully digital invoice processing process with the MACH self-service meineRechnung will be available university-wide.
At the end of 2023, the myProcurement self-service will completely replace the paper-based processing of procurements and be made available university-wide.

Furthermore, a self-service for travel requests and travel expenses will be introduced in the course of 2023.

The time correction document and the application for leave will also be implemented via a self-service in the course of 2023.

Project goals

The MACH self-service functionalities will be further expanded and optimized for the employees of Fachhochschule Dortmund in the finance and personnel areas.

The complete, seamless processing of invoices and procurements throughout the university will be realized.

Project organization

The Rectorate of the University of Applied Sciences is the project client and at the same time the highest decision-making body.

The further organizational structure of the project consists of the project management and the respective sub-project management and teams.
