ERASMUS + staff mobility

ERASMUS+ sponsors guest lectureships at European partner universities, stays of foreign corporate staff at German universities as well as continuing education and training of university staff at European universities and companies.

As a further supporting measure for the internationalization of higher education institutions, further education and training of university staff (teaching and administration) at European universities and at foreign companies / institutions is a possibility.

A "company" is an enterprise that operates economically in the public or private sector, regardless of size, legal form or economic sector, including the social economy.

The stays abroad should last at least two days and a maximum of two months.

The aim of the measure, is the exchange of technical information about administrative processes of the own work area and the personal development (e.g. intercultural competence and foreign language knowledge) of university staff. As well as an active contribution to the internationalization process of the administration of the home institution. This mobility will enable higher education staff to live up to international standards in the care of students, visiting scholars and staff.

Mobility for Staff Training (STT)

Erasmus + enables continuing education and training of university staff in program countries to enhance internationalization.

This activity promotes professional development through training abroad (except for conferences *) and through internships at a partner university or equivalent facilities abroad.

For continuing education and training purposes, university staff from a German university may be supported by ECHE at a host university with ECHE or any other institution located in another programming country that is active in the labor market or in the areas of education, training or youth.

The stays abroad last at least two days and a maximum of two months.

With STT, university staff from all areas can be supported. Examples:

You have the chance to see individual facilities. Such as the International Office, the budget or finance department, the student offices, libraries or the press office, to receive suggestions for your work at the University of Applied Sciences Dortmund, get to know the staff of the partner university personally and make important contacts for further cooperation.

*If it can be demonstrated that new and innovative learning and teaching practices are being acquired as part of mobility, the activity of the participant in the event plays a subordinate role in terms of eligibility. More important is the nature of the event: Participation is not eligible if it is dedicated to a specific discipline.

Mobility for Teaching (STA)

ERASMUS+ sponsors guest lectureships at European collaborate universities that hold a valid Erasmus Charter for Universities (ECHE). Visiting lecturers should strengthen the European dimension of the host university, supplement their curriculum and impart their expertise to students who do not want to or cannot study abroad.

If possible, the development of joint study programs of the partner universities as well as the exchange of teaching content and methods should play a role.
In addition, personnel from foreign companies and organizations can be invited to German universities for teaching purposes.

Personnel mobility must take place in a Program Country, which is not the country of the sending institution (except Incoming Mobility, etc.), and not the principal country of residence of the person concerned.

For teaching purposes, university staff from a German university with ECHE may be promoted to a receiving higher education institution with ECHE (outgoing mobility). In addition, staff from another institution located in another program country (incoming mobility) working in the labor market or in the fields of education and training or youth at a German university with ECHE.

Teaching stays within Europe take between two days and two months (each with no travel time); the teaching load is at least eight hours per stay or per week started.

The following group of people can be supported:

  • Professors and lecturers with contractual relationship to the university
  • Lecturers without doping
  • Teaching contract with work contracts
  • Retired professors and retired teachers
  • Scientific staff
  • Company staff

What costs can be reimbursed?
  • Reimbursement of travel expenses.
  • Reimbursement of subsistence costs for rate differentiated by destination.
  • Special support for persons with disabilities and single parents is possible.

The funding of Erasmus mobility’s for educational or training purposes is subject to availability of funds and is geared towards the difference in the cost of living in the target countries ("Program Countries").
Uniform daily rates / unit costs apply for funding by German universities.

As of the project year 2014, the following fixed unit costs for four groups of countries apply to Germany up to the 14th day of the stay. From the 15th to the 60th day of the stay, the funding amounts to 70% of the mentioned unit costs:

These unit costs are the cost of travel depending on the actual distances between the starting and the destination of the mobility, which are calculated uniformly throughout Europe using a calculation tool.

The following amounts will be reimbursed per stay and depending on the distance:

Please note that arrival days, weekends and public holidays in the destination country cannot be financed.

There is no reimbursement of travel expenses within the framework of the LRKGs NRW.

Which conditions must be met?

The contact with the foreign university or the foreign company takes place in agreement with the International Office by the participant.

  • Only stays at ERASMUS+ partner universities of the Fachhochschule Dortmund are funded
  • The partner university must be in possession of an ERASMUS+ University Charter (EUC).
  • An inter-institutional agreement for staff mobility (ST) must be concluded with the partner university. (Note: If you are planning a work visit to a European university with no existing bilateral ST agreement, please contact the International Office).
  • A written agreement on the content and scope of the program must be made with the partner university ("Work Plan"). The agreement must be submitted before the trip begins, by the employee, the supervisor, the ERASMUS+ university coordinator and the host university.
  • Duration of stay: at least 2 working days, maximum 2 months.
  • Teaching: at least 8h/week
    Mobility for teaching purposes must include at least 8 lessons in a week or a shorter period. For each additional day of stay beyond one week (7 days), the minimum number of hours per additional day will be calculated as follows: 8 hours divided by 5 days multiplied by the number of additional days.

Deadlines, organization and application

Please apply up to 6 weeks before you start your mobility:

  • Application form
  • Copy of a business travel application approved by the professional supervisor
  • If necessary, attach the program of the event
  • Confirmation of the partner university / company (also e-mail sufficient) about your admission, from which the exact dates of your visit emerge
  • Completed Staff Mobility Agreement for training or teaching

You will then receive a grant agreement, which you must sign before traveling and send it to the International Office.

At the latest 4 weeks after your return, please hand in the final certificate for personnel mobility required for payment (confirmation, see documents in the right-hand column) to us.

You also need to answer an online EU-survey. The link will be sent by e-mail from the EU Commission directly to the employee.

Note on business travel accounting

There is no reimbursement of travel expenses within the framework of the LRKG NRW, since you will receive unit costs.

If you would still like to submit a business travel statement, as the travel costs are higher than the Erasmus + subsidy, please select "partially" in the business travel application under "Reimbursement by third parties". A copy of the funding agreement must then accompany the billing documents.

Tax information

The Erasmus + Mobility Grant includes the travel and travel expenses, which are subsidized by the EU Commission / DAAD as unit costs. The beneficiary is required to pay personal tax on possible positive differences from real costs to unit costs.
